Nia Privacy Policy

Nia is built by AgentivX Solutions, LLC (“AgentivX,” “we,” “us”). If something here is unclear, email [email protected] and a person will answer.
The short version
We collect what Nia needs to do her job for you: your Google sign-in identity, the calendar and spreadsheet data you connect, what you tell her, and what she drafts for you. We never sell your data, never use it to train AI models, and never hand it to advertisers. Every calendar event, spreadsheet write, and memory is a draft you approve before it happens. Delete your account and everything tied to it is permanently removed, not archived.
What we collect
Account and sign-in. Your name and email address from Google Sign-In. We never see or store your Google password.
Google Calendar and Sheets.When you connect them, Nia can read and write calendar events and create or edit spreadsheets on your behalf, and can see the specific Google Drive files she creates for you. We request the narrowest Google permissions that do the job (“least-privilege scopes”): Nia cannot browse your Drive, read your email, or see files she did not create.
Conversations. What you say or type to Nia, so she can answer and remember context. Voice conversations are processed by our AI and voice providers in real time (see Who we share data with below); we keep a transcript so you can review and delete it.
Memories, tasks, and expenses. Facts Nia is told to remember, tasks, and expenses you log stay visible on your account, and you can edit or delete any of them yourself at any time. When you show Nia a receipt or invoice, the photo itself is discarded after she reads it; we keep only the short summary she extracted (vendor, amount, date), never the image.
Content drafts and document reviews. If you ask Nia to draft a post or review a document, we keep the draft or the review she produces. The document or photo text you gave her to review is not stored; only her findings are.
Billing. Stripe handles your payment method and processes charges. We never see or store your full card number.
Usage and audit logs. A record of sign-ins, settings changes, and every external action Nia takes (a calendar write, a sheet edit, a connection or disconnection), so you can see exactly what she did and when. You can read this log and export it at any time.
How we use it
Solely to run Nia for you: answering you, drafting the calendar events, spreadsheet rows, briefs, content, and document reviews you ask for, and remembering what you have told her to remember. Every external action (a calendar write, a spreadsheet edit, deleting a memory) is prepared as a draft first and only happens after you confirm it. That is enforced in the code, not just something Nia is told to do.
We do not use your data to train AI models, ours or anyone else’s. We do not sell it, rent it, or use it for advertising.
Who we share data with
We use a small number of providers to run Nia, and each one gets only what it needs to do its job:
- Google: sign-in, Calendar, Sheets, and the Drive files Nia creates.
- OpenAI and Google Gemini: process your conversation to generate Nia’s replies.
- ElevenLabs: generates Nia’s spoken voice.
- LiveAvatar: powers face-to-face avatar conversations, on plans that include it.
- Stripe: processes subscription payments.
- Resend: delivers your daily brief by email, if you turn that on.
- Supabase and Vercel: host our database and the application itself.
We do not share your data with anyone else, and none of these providers may use your data for their own purposes beyond providing the service to us.
Security
Connections to Nia are encrypted in transit. Your Google access tokens are encrypted at rest, separately from the rest of your data. Access to production data is limited to what AgentivX staff need to operate and support Nia.
Your data, your control
From inside Nia you can view, edit, and delete any memory, task, or expense. You can export everything tied to your account in one action. You can disconnect Google Calendar or Sheets at any time without deleting your account. Deleting your account permanently removes your data from our systems; it is not archived or recoverable afterward.
To delete your account, use the option in Settings, or email [email protected] and we will do it for you.
Data retention
We keep your data for as long as your account is active, so Nia can keep functioning as your assistant. If you delete a memory, task, or expense, it is removed immediately. If you delete your account, all associated data is permanently deleted.
Children
Nia is a business tool for adults running their own business or team. It is not directed at, and we do not knowingly collect data from, anyone under 18.
Changes to this policy
If we make a material change to how we handle your data, we will post the update here and change the date at the top of this page. Continuing to use Nia after a change means you accept the update.
